Managing users

Create a user for each individual who needs to log in to OpenX to perform tasks on behalf of their accounts. When you add a user for an account, the selected account represents their primary account. Users can perform tasks for their primary account and any subaccounts based on the roleA grouping of user permissions, which, when assigned to a user, defines the tasks that they can perform on behalf of their accounts. you assign them to. Either create users for an account when you initially create the account or as a separate procedure at a later time.

Note: The ability to create users is only available in OpenX Ad ServerA complete digital advertising platform where publishers sell, manage, and deliver their advertising inventory across all digital formats.. If you do not have Ad Server, contact your OpenX representative to create users and grant them roles.

Creating a user

  1. Hover over Admin and click Accounts.

  2. Open the view account screen for the primary account for which you want to create the user and click the Users tab.

  3. Click Create User.

    This opens the Create User screen where you must specify required attributes for the new user.

    OpenX Ad Server automatically populates the Primary Account setting with the selected account.

    Note: After you create and save the user, you cannot change this setting.

  4. Specify the following required details for the new user:

    • First Name. Type in the given name for the new user.

    • Last Name. Type in the family name for the new user.

    • User RoleA grouping of user capabilities that describe the tasks a user can perform in OpenX.. Select a role to assign the user to, which helps determine the tasks they can perform when they log in to OpenX.

    • Email. Type in the email address that the user will enter to log in to OpenX Ad Server. This must be unique within the instance of OpenX Ad Server, and must use lower-case letters only.

      After you create the user, OpenX automatically sends an email to the address with a link to OpenX Ad Server and a temporary password. After the user logs in to OpenX the first time, they can change their password.

      Note: You cannot change this setting once you create and save the user.

  5. (Optional) Specify the following details for the new user:

    • Locale. Select a language for the user, which determines what language displays for the user in the OpenX Ad Server user interface. If you select Use Default Setting, OpenX Ad Server uses the language associated with the instance.

    • External IdentifierA free-form reference ID. For example, "Debbie's Account.". Type in an identifier that references an external system you have integrated with OpenX Ad Server.

    • Notes. Type in any additional information about the user.

  6. Click Create. In the confirmation screen that appears, click OK. Alternatively, click Cancel to discontinue the operation.

When you are finished creating the user, it appears in the list on the Users tab in the View Account screen.

Repeat this procedure to create additional users.

Editing users

After you create a user, you can edit its properties, except for Email and Primary Account.

Note: Changing the status of a user may affect their ability to log in to OpenX Ad Server and perform their tasks.

  1. Hover over Admin and click Accounts.

  2. Open the View Account screen for the user's account and click the Users tab.

  3. In the list of users, click the Edit icon for the user you want to modify. This opens the edit user screen.

  4. Change any of the editable settings for the user, as necessary.

  5. Click Save. This updates the user and returns you to the Users tab in the view account screen. A confirmation message appears at the top of the screen.

Deleting users

Depending on your access, you can delete a user from the OpenX system as necessary.

Note: A deleted user no longer has access to OpenX.

  1. Open the View Account screen for the primary account of the user that you want to remove. Then click the Users tab.

  2. In the list of users, click the Delete icon for the user you want to remove.

  3. In the confirmation screen that appears, click OK.

User access

Ultimately, OpenX determines what a specific user is actually able to do when they log in, as follows:

user access = OpenX configuration settings + account type + account experience + user role

For example, a user with order management capabilities on an account that does not have the ability to have orders in it, would not be able to create orders in the account.
